Docs, Wikis and Files Glossary
36 terms from the Workplace & Collaboration book's Docs, Wikis and Files part, each defined in a line and linked to the chapter that explains it.
- Advanced electronic signature (AdES): An eIDAS signature uniquely linked to and capable of identifying the signatory, under the signatory's control, that makes later changes detectable (E-Signatures & Agreements).
- Atlassian Document Format (ADF): The JSON document schema behind Confluence and Jira content, with a
docroot, block and inline nodes, marks and attrs (Docs & Wikis). - Audience targeting: Showing intranet content only to members of chosen groups, a placement filter that is not a permission (Intranets & Knowledge Bases).
- Awareness (presence): Ephemeral co-editing state such as cursors and selections, kept outside the document and expired by silence (Real-Time Co-Editing).
- Block (docs): A unit of content with an ID, a type, properties, an ordered list of children and a parent pointer, from which a page is built (Docs & Wikis).
- Blocklist: The ordered list of content hashes of a file's fixed-size blocks, which identifies a file version in block-level sync (Files, Sync & Storage).
- Certificate of completion: The provider-generated record of an e-signature envelope's history, stored with the signed documents as evidence (E-Signatures & Agreements).
- Conflicted copy: A sibling file a sync service creates when two edits to the same file can't be reconciled, so neither write is lost (Files, Sync & Storage).
- Connector data policy: A tenant rule grouping low-code connectors as Business, Non-Business or Blocked so data can't flow between groups in one app or flow (No-Code Databases & Internal Tools).
- Contract lifecycle management (CLM): Software covering an agreement from request and drafting through negotiation, signature, obligations and renewal (E-Signatures & Agreements).
- CRDT: A conflict-free replicated data type, whose concurrent operations commute so replicas converge without a central order (Real-Time Co-Editing).
- Delegation (low-code): Translating an app's query into a query the data source runs, instead of fetching a capped number of rows and filtering locally (No-Code Databases & Internal Tools).
- Envelope: An e-signature package of documents, ordered recipients and fields, with a status from created through completed, declined or voided (E-Signatures & Agreements).
- Fractional indexing: Ordering siblings by position strings that always leave room between neighbors, so inserts and moves never renumber (Real-Time Co-Editing).
- Home site: The SharePoint site set as an organization's intranet landing page and the basis of the SharePoint app in Teams (Intranets & Knowledge Bases).
- Hub site: A SharePoint site that groups related sites with shared navigation, recommended over nested subsites (Intranets & Knowledge Bases).
- Live doc: A Confluence content type that saves every change for all viewers in real time with no publish step (Docs & Wikis).
- Local undo: Multiplayer undo that reverts only the current user's changes, merged against everything since (Real-Time Co-Editing).
- Local-first software: Software that keeps the primary copy of data on the user's device and syncs it, usually with CRDTs (Real-Time Co-Editing).
- Loop component: A live Microsoft 365 content fragment backed by a
.loopfile whose storage location depends on where it was created (Docs & Wikis). - Managed Environment: A Power Platform environment with premium governance features such as sharing limits, usage insights and environment data policies (No-Code Databases & Internal Tools).
- Operational transformation (OT): Adjusting each concurrent edit operation against the ones it crossed so all editors converge, usually through a central server (Real-Time Co-Editing).
- Page owner: The person responsible for a page, separate from its creator and transferable, reassigned when the owner leaves (Docs & Wikis).
- Page restriction: A per-page limit on viewing or editing that can only narrow the container's access; view restrictions inherit down the tree (Docs & Wikis).
- Pooled storage: Storage sold per seat but consumed as one organization-wide allowance (Files, Sync & Storage).
- Publish to the web: Making a document or site readable outside the organization, ideally behind an admin switch (Docs & Wikis).
- Qualified electronic signature (QES): An eIDAS advanced signature made on a qualified signature creation device with a qualified certificate, equivalent to a handwritten signature across the EU (E-Signatures & Agreements).
- Qualified trust service provider (QTSP): A provider audited and granted qualified status by a national authority, listed on an EU trusted list (E-Signatures & Agreements).
- Remote online notarization (RON): Notarization of an electronic document by a commissioned notary for a signer on a recorded video call (E-Signatures & Agreements).
- Rewind (point-in-time restore): Undoing all file changes in an account or folder back to a chosen moment, the main ransomware recovery tool (Files, Sync & Storage).
- Shadow app: A business application built by employees in a no-code or low-code tool without IT's involvement or visibility (No-Code Databases & Internal Tools).
- Shared drive: A file container owned by a team or the organization rather than a member, so files outlive any one account (Files, Sync & Storage).
- Signing group: A shared e-signature recipient, any one member of which may sign for the organization (E-Signatures & Agreements).
- Synced tree: A sync engine's record of the last state known to match on both client and server, used as a merge base (Files, Sync & Storage).
- Verification (knowledge): A named verifier's confirmation that content is current, which expires after an interval and demotes the content (Intranets & Knowledge Bases).
- Version trimming: Deleting file versions beyond a library's count or age limit, which retention policies and holds override (Files, Sync & Storage).
